Are you tired of having back-to-back-to-back meetings without a break in between? Well, there’s a cool setting that you can change in your Outlook calendar to schedule some downtime — a 5 or 10-minute break between meetings scheduled on top of each other that you can gave a bio break, get a snack, stand up and stretch, etc.

  • First, select the date and time that you’d like to schedule your meeting (without double-clicking on it to open it).
  • Right-click and select Calendar Options from the drop-down.

calendar options

  • In the Calendar options section of the window that opens, click the box next to Shorten appointments and meetings and choose to End early (or Start late, but that can annoy other attendees).
  • Then under “Less than one hour” – use the drop-down to select to end 5, 10 or 15 minutes early.
  • And/or under “One hour or longer” – again, use the drop-down to select to end 5, 10 or 15 minutes early.
  • Then click OK to close the window.

shorten meeting

  • Now return to your calendar meeting time and schedule your meeting. You’ll see if you schedule it for less than an hour (or more) the time you shortened it by will be noted.
  • This change will affect all meetings going forward, but you can manually change the end time if needed.
